Financial Manager

Privacy Policy

Effective October 22, 2026

Financial Manager (the “App”) is a private bookkeeping application operated by CTWei (“we”, “us”). It is available only to users invited by an administrator of the organization that uses it; there is no public sign-up. This policy explains what information the App collects, how it is used and protected, and the choices you have. Questions: contact@ctwei.com.

Information we collect

  • Account information: name, email address, username, role and, if you sign in with Google, the basic profile information Google shares (name, email, profile picture).
  • Financial records you enter or import: transactions, card and account names, invoices, payments, notes and attachments created in the App or imported from files or services you choose to connect (for example, Monarch Money exports).
  • QuickBooks Online data, accessed only after an administrator authorizes the connection: company information, the customer and product/service references the App uses, invoices, payments and their links to invoices, and the account balances and report figures used to reconcile the ledger.
  • Connection credentials: the OAuth tokens QuickBooks issues to the App. They are encrypted at rest and never shown to users.
  • Activity and technical information: a change history (audit log) of records created, edited or deleted in the App, and standard server logs (such as request times and error messages) used to keep the App running.

How we use information

  • To provide the App’s bookkeeping features: recording transactions, preparing invoices and statements, and reconciling the ledger with QuickBooks Online.
  • To send invoices to QuickBooks Online and to import payments from it, only when an authorized user turns these features on or starts them.
  • To keep the App secure, prevent errors and duplicate entries, and maintain an accurate history of changes.

We do not sell personal or financial information, do not use it for advertising, and do not use QuickBooks data for any purpose other than providing the App to the organization that connected it.

How information is shared

We share information only:

  • with Intuit (QuickBooks Online) and other services you choose to connect, as needed to perform the actions you request;
  • with service providers that host and operate the App on our behalf, such as cloud hosting, database hosting, sign-in and AI-assisted maintenance tools, under obligations to protect the information;
  • when required by law, or to protect the rights, property or safety of users or others;
  • with the consent of the organization that owns the data.

QuickBooks Online connection

An administrator can connect or disconnect QuickBooks Online at any time in the App’s QuickBooks settings, or from QuickBooks Online’s list of connected apps. When the connection is removed, the App stops accessing QuickBooks and its stored tokens are revoked and deleted. Records already saved in the App’s ledger stay part of the organization’s bookkeeping records unless deletion is requested.

Security

The App is served over HTTPS, access is limited by user role, QuickBooks tokens are encrypted (AES-256-GCM), and changes to financial records are logged. No system is completely secure, but we take reasonable measures to protect the information we hold.

Retention

We keep bookkeeping records and their change history for as long as the organization uses the App and as needed to meet accounting, tax and legal obligations. Connection tokens are deleted when QuickBooks is disconnected.

Your choices

You may ask to access, correct or delete personal information about you by writing to contact@ctwei.com. Some financial records may need to be kept to meet legal or accounting requirements; we will tell you if that applies.

Children

The App is intended for business use and is not directed to children under 13.

Changes to this policy

We may update this policy from time to time. The effective date above shows when it last changed; significant changes will be communicated to the App’s administrators.
